Standardization of Medical Consultations
Medical consultations are reported through a log created by the receptionists and supervised by the department heads. However, we were assigned the task of standardizing and automating the consultation count using our system. The goal was to ensure data reliability and reduce the workload for our staff.
To automate the consultation count, I created a file that automatically compared the log records with the system data, allowing me to continuously monitor the accuracy of the figures. Once the data was obtained, I organized meetings with the heads of each branch to review the identified discrepancies and agree on possible causes. During these sessions, we identified several reasons for the variations. The main issue was an error when closing consultations in the system. Another cause was a problem with data transmission within the system, and the last detected reason was that consultations were not being correctly recorded in the system at one of the branches. After addressing these issues, I developed a chart for management that shows the precise number of consultations, now automated and standardized in our system.
This project allowed me to improve my skills in asking effective questions and ensuring the precise completion of tasks. I learned to explore all possibilities before drawing conclusions, making sure not to overlook any details. Standardizing and automating the consultation count taught me the importance of clear communication with the team and branch managers. By resolving the identified discrepancies, I developed skills to efficiently identify and address problems, ensuring the accuracy of the data presented in the chart for management.
